A borrowing base line of credit is a revolving line whose available limit is calculated from eligible receivables and inventory and updated through regular borrowing base certificates. Rainhaven Business Funding, a small-business funding broker in Columbia, Tennessee, explains how it works for Maury County retailers and contractors; lending partners make credit decisions and set rates and terms.
Who this is for in Maury County, TN
Retail is Maury County's largest sector by employer count, with 330 establishments and 4,784 employees in 2023, and the county also had 73 wholesale establishments (U.S. Census Bureau, County Business Patterns 2023). In the office ZIP, 38401, retail led with 251 employers (U.S. Census Bureau, ZIP Code Business Patterns 2023). Businesses that carry real stock and invoice customers on terms are the ones a borrowing base is designed around, along with contractors that bill large receivables.
What a borrowing base line is
An ordinary line of credit has a fixed limit. A borrowing base line, sometimes called an asset-based line of credit, sets the limit by formula: the value of eligible collateral multiplied by the advance rate the agreement sets for each type, minus any reserves the lender holds back. If receivables and stock grow, more becomes available; if they shrink, availability shrinks too, even if the stated maximum stays the same.
This article deliberately gives no advance-rate figures; they vary by partner, collateral and business, and the agreement sets them.
What counts as eligible
Not every receivable or item of stock counts. Agreements commonly exclude or limit:
- Invoices past a set age, or from customers with large overdue balances
- Amounts owed by related companies or by a single customer above a concentration limit
- Retainage and progress billings, which some agreements treat differently from ordinary invoices
- Consigned, obsolete, damaged or slow-moving inventory
- Work in progress that is not yet finished goods
For a contractor, the retainage point matters: the retainage article shows how much of a contractor's receivables can sit in retained balances. Contractor financing covers the alternatives.
The borrowing base certificate and reporting
A borrowing base certificate is a form the business submits, often monthly and sometimes weekly, listing eligible receivables and inventory and calculating current availability. It usually comes with a receivables aging and an inventory report. Some lenders also run periodic field exams or inventory counts to check the reported figures. The reporting is the price of a limit that can grow with the business, so ask how often it is required and what it costs before choosing this structure.
Borrowing base line or ordinary line?
| Ordinary line of credit | Borrowing base line | |
|---|---|---|
| Limit | Fixed amount | Moves with eligible collateral |
| Reporting | Usually annual review | Regular certificates, agings and inventory reports |
| Suits | Steady, predictable businesses | Businesses with large, changing receivables or stock |
| Collateral | Varies, sometimes unsecured | Receivables and inventory |
For smaller, simpler needs, a standard business line of credit is often enough. Stock bought in large planned orders may fit inventory financing better.
When a borrowing base is the wrong fit
- Receivables are small or come from one or two customers
- Stock is specialized, slow-moving or hard to count
- Nobody in the business has time to prepare monthly certificates
- Books are not reconciled monthly
In those cases a standard line or a term loan is usually simpler. Ask any partner offering a borrowing base line to list every charge connected with reporting and field exams, so the total cost is clear before you sign.
Getting ready
- Produce a clean receivables aging and know your largest customers' share.
- Keep an inventory report by category with ages.
- Reconcile both to your books every month.
- Decide who will prepare certificates and how often you can deliver them.
